Set a patient status

Patient statuses help you organise and categorise your patients, and can also control whether their profiles are visible or available for appointment selection in your Halaxy account. For example, patients with a Deceased or Blocked status can no longer be selected for appointments.

In addition to Halaxy’s default statuses, you can create your own custom statuses to suit the needs of your practice.

Tip

If you would like to mark certain profiles purely for labelling purposes, try adding a label instead!

Change a patient status

  1. Open the patient's profile.

  2. In the top right of the profile, click Edit.

  3. For Status, select the appropriate status for the patient from the dropdown.

  4. Click Save.

Tip

To find a list of patients with a specific status, you can run a Patient report.

Apply bulk status update to multiple patients

  1. Click Reports > Patient.

  2. On the top right, click New Report.

  3. For Report Type, select Case Load.

  4. (Optional) Set any other filters you want to create a list of patients.

  5. Click Run.

  6. In the report results, tick the checkbox for each patient you want to apply the bulk update.

  7. On the upper right, click Actions, then select Update patient status.

  8. In the pop-up, select the new status you want to apply, then click Save.

You have successfully applied this update to the selected patients.

Create a custom patient status

You can create your own patient statuses to apply to patient profiles. Each custom status must be linked with one of Halaxy's built-in default statuses to apply the same behaviour.

  1. Click Settings > General.

  2. Under the Patient Profiles section, next to Custom patient status, click View All.

  3. In the pop-up, click Add Custom Status, then configure the following:

    • Status Name: Enter the new name for your patient status.

    • Status Behaviour: Select a Halaxy default status to match the system behaviour for this status. (See reference guide for statuses and functions in the table below.)

  4. Repeat Step 3 to create more custom patient statuses.

  5. Click Save.

Your custom patient status is now ready to be applied to patient profiles.

Note

A custom patient status cannot be deleted if it is applied to a patient profile.

View patient status history

Patient status history allows you to track the changes to a patient's status, such as when these changes were made and who in your practice made them.

  1. Open the patient's profile.

  2. In the top right, click the Actions dropdown, then select View patient status history.

A pop-up appears with the history of status changes for this patient.

This status deactivates the patient profile and disables it from being added to appointments and invoices. This does not erase the patient data from your account.

You can restore a deleted patient by running a patient report and filter Patient Status to Deleted.

When patient is added to an appointment, their status changes to Current.

Alternatively, you may use the Waiting List feature.
