Manage patient profile sharing and privacy

When clinically appropriate or necessary, you can share or restrict another practitioner access to a patient's profile and clinical records.

To quickly share a patient's full profile, add the practitioner to the patient's Practitioner Relationships.

Tip

If you are looking to share only specific clinical records (and not the full record) with another practitioner, you can opt to share individual clinical notes instead.

Share a patient with another practitioner

  1. Open the patient's profile.

  2. Under the Practitioner Relationships section, click Edit.

  3. In the pop-up, click Add New.

  4. In the new row, set the following:

    • Practitioner: Select the practitioner you want to grant access to this patient.

    • Main: Tick the checkbox next to the practitioner's name to make them the patient's primary or preferred practitioner.

    • Relationship: Select a label that best describes the practitioner's relationship with the patient. This is purely for labelling purposes.

    • Access Type: Select the level of access this practitioner should have to this patient.

      • Own access level: Allow practitioner to view all of the patient's clinical notes, but edit only their own. (Applicable to practitioners on Personal and Contact access)

      • Full: Allow practitioner to view and edit all of the patient's clinical notes.

      • Revoked: Block practitioner all access to this patient, even if they have prior records with the patient such as invoices and appointments. When access is revoked, the practitioner can no longer find or view the patient profile.

    • Read Only: Tick the checkbox to disable the practitioner ability to edit the patient's profile and clinical records. When ticked, the practitioner can only view the patient's profile and clinical records.

  5. Click Save.

Note

Unless they have Clinic Restriction on their access level settings or the patient is on private mode, practitioners who are Full or Clinical Access users automatically get full access to your patients.

Apply bulk practitioner relationship update to multiple patients

  1. Click Reports > Patient.

  2. On the top right, click New Report.

  3. For Report Type, select Case Load.

  4. (Optional) Set any other filters you want to create a list of patients.

  5. Click Run.

  6. In the report results, patient names are listed by practitioner. Tick the checkbox for each patient-practitioner you want to apply the update.

  7. On the top right, click Actions, then select Update practitioner relationship.

  8. (Optional) In the pop-up, select the practitioner relationship you want to change to.

  9. Click Save.

You have applied the relationship update to the selected patients and practitioner/s.

Note

You can only apply bulk updates to patients that you have access to. You cannot apply updates to patients whose names are anonymised.
