Where can I find a list of patient contacts?

Contact-only profiles do not appear on the patient list. You can create a list of contacts assigned to your practice by running a patient report.

  1. Click Reports > Patient.

  2. On the top right, click New Report.

  3. For Report Type, select Contact.

  4. Click Run.

A list of contacts will be created as a report. You can click on any contact to go to their profile and change a contact to a patient if required.

How can I tell if a patient is a new patient?

From the calendar screen, click the Icon-Settings.svg cogwheel icon in the top right to open your calendar preferences. For New patient icon, select Show. to show an icon for new patients.

This displays a star icon next to the name of any patients who have never attended an appointment with the practice and allows you to easily see whether you need to send a patient form, review a patient's completed form or collect other information from a patient.

Alternatively, you can run a report to generate a list of patients that fit certain criteria. To find new patients, you can run an appointment report with the Report Type set to "Attendance" and filtered for patients with only 1 appointment in total.

Note

To protect patient privacy, whether or not the new patient icon is displayed may depend on the user's access level. For example, if a Personal Access practitioner cannot see that another practitioner at your practice has previously seen the patient, the icon will be displayed for the Personal Access user as though the patient is new. However, a Full Access user who can see appointments with the previous practitioner will not be shown the icon.

How do I add contact details for a child patient's divorced parents?

Add both parents as separate patient contacts with their own emails and phone numbers. You can do this in the child patient's profile.

Why is my patient list missing some patients?

If your list appears shorter than expected, this may mean that your list is restricted by search terms or filters. Your full list will appear when you remove the filters. Active filters are shown in brackets in column headers. Click a column heading to edit or remove filter search terms for that column.

How do I convert a contact to patient?

In order to change the status of a contact to patient, simply edit the contact's profile and change their Status from Contact to Current.

If their profile type is set to Contact Only, change their Profile Type to Full.

The contact profile will be changed to a patient profile and will appear in your Patient List. Note that once the profile has been changed to a patient profile, they still remain listed as a contact and will continue to receive reminders and campaigns according to your settings.

My patient's contact is an existing patient in my practice. Do I have to create a new contact profile for them?

No. When you are adding the contact to the patient's profile, simply type the name of the contact in the Name field. If the contact already exists as a patient in your Halaxy, the contact's name should appear in the dropdown. Click the name to link the contact using their existing patient profile.
