How do I link a clinical note to an appointment or referral?

  1. Open the clinical note.

  2. In the title bar, click theIcon-Edit.svg pencil icon.

  3. In the pop-up, set the following:

    • Appointment: Select the appointment you want to link to this note.

    • Referral: Select the referral you want to link to this note.

  4. Click Save.

Note: When you create an appointment, Halaxy automatically creates a clinical note for it, with the appointment already linked.

How do I remove invoice or appointment details from my clinical notes?

If you add a letter to a clinical note that is linked to an appointment, ensure that the Detail setting in your note preferences is set to Basic. If the Detail setting is set to Medium or Full, the appointment details and invoice information will be included in the content of the letter.

To pin a note, simply right-click a note in the list, then select pin. Do the same steps to unpin.

Why are my clinical notes being deleted or overwritten?

Halaxy automatically saves your clinical notes every minute or so to prevent data loss. However, an issue can occur when clinical notes are open in multiple browsers, devices or tabs at the same time - in such instances, one instance of the note may overwrite another, causing you to lose your work.

To prevent this, we recommend the following:

  • Use clinical note versioning to save backups.

  • Do not open clinical notes in multiple browsers, devices or tabs, and ensure that only one person looks at a clinical note at a time.

  • Publish your clinical notes to lock them and prevent edits.

How do I add my prescriber number?

Your prescriber number is required to order prescriptions for patients. This number can be added as a professional identification in your practitioner profile.

  1. Click Personal > Profile.

  2. In the top right, click Edit.

  3. Under the Qualifications & Credentials section, for Identification, click Add Identification.

  4. Select the Prescriber Number identification type, then beside it, enter your prescriber number.

  5. Click Save Profile.

Why do font colours change when I publish clinical notes?

The default font colour after publishing is based on your visual settings. However, be aware that this only affects the appearance of the note in the main Halaxy view and does not affect your actual note formatting. The colour of the font you used when editing the note will be the actual colour of the font when you share, preview or print the note.

Why is my annotatable image not printing or displaying?

We recently upgraded our functionalities for annotatable images and PDF documents, but users must activate the upgrade.

To activate this, you only need to open your default letterhead template and save it.

  1. Click Settings > General.

  2. Under the Template Settings section, next to Clinical letterhead templates, click the Icon-Edit.svg pencil icon.

  3. Click Save.

Try printing your clinical note with the annotatable image again.

Why are my dynamic terms not converting when I publish the clinical note?

The most likely reason for this is because the clinical note is not linked to either a referral or an appointment, so Halaxy cannot detect what information to populate the dynamic term.

To link the clinical note to an appointment or referral, edit the clinical note information and select the appointment or referral to link to the note. After you save, your dynamic terms should convert when you publish.

Can I dictate my notes into Halaxy?

It depends on your device, but most devices have text-to-speech features. Apple devices support dictation.

If you are using a Windows laptop, press the Windows key + H. You will have to enable the Online Speech Recognition feature. For more details, read this Windows support article.
