Notify patients of expiring referrals

When a patient's referral is nearing expiry or exhaustion, you can automatically email or SMS the patient to remind them to obtain a new referral. By using an automated campaign to notify patients, you can save time and patients can always stay on top of their referral requirements.

Automatically send an SMS or email reminder for expiring referrals

In this example, you will send email reminders to patients who have an appointment within the next two weeks AND have one (1) appointment remaining in their referral.

  1. Create an email communication template for your campaign, which will be the content of your email.

  2. Click Reports > Contact.

  3. On the top right, click New Report.

  4. Configure the following options for your report:

    • Report Type: Referral

    • Limit: Equals 1 - This targets patients with 1 appointment left in their referral limit.

    • Length: 14 days - Patients are filtered further for those who have an appointment within the next 14 days.

  5. Click Run.

  6. Click Save to save your report. Enter a Title for it. (e.g. Reminder - Expiring Referral), then click Save.

  7. On the top-right, click Set as Campaign.

  8. Configure the following options for your report:

    • Scheduled Date: Enter the date and time of when you want the first email to send out.

    • Email Template: Select the communication template you created in Step 1.

    • Recipient: Select Patients.

  9. Click Repeat Campaign and set to repeat every 1 week. (Optional: Select the day for your campaign schedule to repeat.)

  10. Click Save.

You have successfully automated an email campaign to remind patients who have an upcoming appointment when they have only one (1) appointment left. By scheduling the campaign to repeat every week, patients who do not submit a new referral will receive two reminders in total.

This campaign example can be customised to suit your needs.
