Automate patient care with Follow-Ups - a powerful tool for scheduling messages to be sent at the right time! Follow-ups let you send SMS and/or email communication templates to patients or their primary contacts at a schedule of your choosing.

You can add follow-ups directly from the patient profile or from a specific clinical note, helping you automate care without losing the personal touch. To save time, you can create follow-up templates that pre-fill key details, so you don't have to start from scratch each time.
With follow-ups, you can automate your communication while maintaining a personal, proactive approach to ongoing care.
Note
SMS follow-ups require Halaxy credits and cost 1 credit for the first 160 characters and 1 credit for every 153 characters.
Tip
You can schedule multiple follow-ups for the same patient or clinical note.

Create your email and/or SMS communication template for the content for your follow-up.

Open the clinical note.

In the clinical note title bar, click the
follow-up icon.

In the pop-up, configure your follow-up. (You can pre-fill your follow-up details instantly by using follow-up templates.)

Title: Enter a name for your follow-up. (e.g. 6-months Recall, Discuss blood test, Post-op check-in)

Delivery Method: Tick the checkbox/es to select how to send your follow-up message. You can send follow-ups via email, SMS or both.

Schedule after publish: Send the follow-up after this amount of time from publishing this note.

Time: Select the time of day on the scheduled date to send the follow-up.

Email Template / SMS Template: Select the communication template/s to send as the content for your follow-up.

Click Save.
When your clinical note is published, your follow-up message is scheduled to send at your schedule day and time after publishing. You can edit or cancel your follow-up before it sends.
Important
Don't forget to publish your clinical note! If the clinical note is not published, the follow-up will not be sent.

Open the patient profile.

In the top right, click the Actions dropdown, then select Add follow-up.

In the pop-up, configure your follow-up. (You can pre-fill your follow-up details instantly by using follow-up templates.)

Date / Time: Set the date and time in the future to send this follow-up.

Click Save.
Your follow-up message is scheduled to send at your set date and time. You can edit or cancel your follow-up before it sends.
Follow-up templates are reusable follow-ups, allowing you to quickly recreate your most frequently used follow-ups in a click, instead of starting from scratch every time.

Click Settings > General.

Under Appointment Settings, next to Follow-Up Templates, click View All.

In the top right, click Add Follow-Up Template.

In the pop-up, configure your follow-up template.

Title: Enter a name for your follow-up. (e.g. 6-months Recall, Discuss blood test, Post-op check-in)

Delivery Method: Tick the checkbox/es to select how to send your follow-up messages that use this follow-up template.

Schedule after publish: Send the follow-up after this amount of time from publishing the clinical note. (Applies only to follow-ups from clinical notes. The send schedule for follow-ups from patient profiles must be manually set.)

Time: Select the time of day on the scheduled date to send the follow-up.

Email Template / SMS Template: Select the communication template/s to send as the content for your follow-up.

Click Save.
You can now use this template when scheduling follow-ups for patients.
This list contains all your past and upcoming follow-ups for all patients. You can sort this list by filtering any of the columns. See related article: Manage your lists and reports

Click Schedule > Tasks & Follow-Ups.

At the top, click the Follow-ups tab.

In the list, under the Actions column, for the follow-up you want to edit, click the
pencil icon.

In the pop-up, edit any of the details for your follow-up.

Click Save.
You have successfully edited your follow-up.

Click Schedule > Tasks & Follow-Ups.

At the top, click the Follow-ups tab.

In the list, under the Actions column, for the follow-up you want to edit, click the
pencil icon.

In the pop-up, click Delete, then click Delete Follow-Up to confirm.
You have successfully cancelled the follow-up messages, which will no longer be sent to the patient.
