Both tools use advanced AI models designed for healthcare, ensuring speed and accuracy while keeping patient data private and secure. All information is encrypted, never shared with third parties, and fully compliant with privacy regulations.
Halaxy AI Scribe and Halaxy AI File Summary are enabled by default for your group, so you can start using them straight away to save time and improve accuracy. With these AI features, you can transcribe appointments, generate summaries or summarise files, helping you focus more on patient care.
If you prefer to adjust access to AI features for your whole group, you can easily configure this in your Halaxy settings:

Click Settings > General.

Under the AI Settings section, click the
pencil icon for AI Scribe preferences.

Tick/untick the checkboxes of the AI scribe you want to enable/disable.

Click Save.
Caution
Disabling all AI scribe options will also disable the Halaxy AI File Summary feature. The Halaxy AI File Summary feature will remain enabled as long as one AI scribe option is turned on.
If you would like to adjust access to AI features for specific users, you can configure this in the users' settings:
No. Your AI-generated notes are secure and private. Halaxy AI Scribe fully complies with the access controls set on your user account. This means your notes are only accessible to you and authorised members of your practice, just like any other clinical information in Halaxy.

No. Halaxy AI Scribe does not store any audio recordings. The feature streams audio in real time for live transcription and does not save the recording anywhere. Only the final transcription and generated summary are securely stored in your notes.
No. Your patients’ data is not used to train Halaxy AI. All information remains private, encrypted, and accessible only to you and authorised members of your practice, as defined by your access controls. Halaxy adheres to strict privacy and security standards to ensure your data is safe at all times.
No. Your data is never shared with third parties. All information stays within Halaxy's secure system and is only accessible to you and authorised members of your practice.
Yes. Halaxy AI Scribe allows you to customise your summary templates, enabling you to adjust the output so your AI-generated summaries match your practice's requirements.

Halaxy AI Scribe costs 1 credit per 15-minute transcription block. The charge is purely for the live transcription cost. After the transcription session, generating summaries is free, so you can regenerate multiple times as needed.

The charge is applied upfront when you start a new transcription session.

Pausing the transcription session will also pause the charge.

If you finish before 15 minutes and start a new transcript, another credit will be charged.

Credits are not calculated proportionally—each block is always 1 credit.

Your transcription data is stored securely in cloud-based data centres using Amazon Web Services (AWS) infrastructure, which meets industry-leading security standards. For Australian users and most regions worldwide, practice data is stored in Australia, while users in the European Union have their data stored within the EU to comply with regulations such as GDPR.
